Without UTM parameters, analytics often lumps visits from emails, social posts and partner links into vague buckets like "direct" or "referral". With them, you can see exactly which newsletter, post or partner sent each visitor and lead.
The five UTM parameters
| Parameter | Purpose | Example |
|---|---|---|
| utm_source | Where the traffic comes from (platform or sender) | linkedin, newsletter, partnername |
| utm_medium | The type of channel | email, social, paid_social, cpc, referral |
| utm_campaign | The specific campaign or initiative | 2026-q3-seo-audit-offer |
| utm_content | Differentiates creatives or links in the same campaign | video-ad-a, header-link |
| utm_term | Keyword or audience (mainly for paid) | saas-seo, retargeting-pricing |
utm_source, utm_medium and utm_campaign should be used on every tagged link. A full example:

When to use UTM tracking
- Links in email newsletters and sequences.
- Organic and paid social posts.
- Partner, sponsorship and affiliate links.
- Links in PDFs, presentations and QR codes.
- Ads on platforms without automatic tagging.
When not to use UTMs
- Internal links on your own website. UTMs on internal links start new sessions and overwrite the original source, corrupting attribution.
- Google Ads with auto-tagging. GCLID auto-tagging provides richer data; manual UTMs are usually unnecessary.
A UTM naming convention
Consistency is everything. "LinkedIn", "linkedin" and "linkedin.com" appear as three different sources in GA4. Agree rules:
- Lowercase only.
- Hyphens instead of spaces (or underscores; pick one).
- Fixed lists for source and medium. Do not invent new mediums per campaign.
- Campaign names with a date or quarter prefix for easy sorting.
- No personal data in any parameter.
| Channel | utm_source | utm_medium |
|---|---|---|
| LinkedIn organic | social | |
| LinkedIn ads | paid_social | |
| Meta ads | facebook or instagram | paid_social |
| Newsletter | newsletter | |
| Nurture sequence | hubspot (or your platform) | |
| Partner website | partnername | referral |
| Podcast sponsorship | podcastname | sponsorship |
Align mediums with GA4's default channel definitions where possible (for example "email", "social", "cpc") so traffic lands in the right default channel group.
UTM builder workflow
Use Google's Campaign URL Builder or a shared spreadsheet template that builds URLs from dropdowns. A spreadsheet helps enforce allowed values and keeps a log of every tagged link.
Capturing UTMs in your CRM
GA4 shows sessions and conversions by source, but your CRM needs source data to report pipeline:
- Add hidden fields to forms for utm_source, utm_medium, utm_campaign, and the landing page.
- Use a script or your form tool to fill them from the URL or a first-party cookie.
- Store first-touch and latest-touch values on the contact.
- Report opportunities and revenue by source.
This is the foundation for credible marketing attribution and cost per lead reporting.
UTM best practices checklist
- Use source, medium and campaign on every tagged link.
- Never tag internal links.
- Use lowercase and consistent separators.
- Maintain an approved list of sources and mediums.
- Log every tagged link in a shared sheet.
- Test links before publishing.
- Review GA4 source/medium reports monthly for inconsistencies.
UTM parameters for email and newsletters
Email platforms often add UTM parameters automatically, but defaults may not match your convention. Check settings so source and medium follow your rules (for example utm_source=newsletter and utm_medium=email), and use utm_campaign for the specific issue or sequence name, such as 2026-10-newsletter or nurture-seo-audit. Use utm_content to distinguish links within the same email, such as header-link and cta-button, which shows which placements readers actually click.
Fixing messy UTM data
If your reports already contain inconsistent values, create a GA4 custom channel group with rules that group variations together, and clean up the naming going forward. Our guide to tracking AI traffic in GA4 shows how channel groups work.
UTMs for AI and offline channels
Some AI tools append UTM parameters to outbound links, which helps identification. For offline channels such as events and print, use QR codes with tagged URLs or dedicated short URLs, so visits are attributed rather than appearing as direct traffic.
