A typical NEMT office uses several systems: dispatch software, one or more broker or payer portals, accounting software, a phone system, email, maybe a CRM and a website form. When they do not talk to each other, staff copy information between them. That costs time, introduces errors and delays billing. NEMT software integrations connect these systems so data moves automatically and accurately.

This guide covers the most valuable integrations, how integrations work, how to plan them and how to keep them secure.

Where double entry hurts most

Before choosing integrations, map where your team re-types information:

  • Trips received from brokers entered into dispatch.
  • Website or email trip requests entered into dispatch.
  • Completed trips entered into billing or accounting.
  • Facility and referral details kept in spreadsheets separate from trip data.
  • Rider phone numbers copied into SMS tools.

Estimate the hours spent each week and the errors caused. That shows where integration pays off first.

Key NEMT software integrations

High-value NEMT integrations
IntegrationWhat it doesBenefit
Broker or payer portal to dispatchImports assigned trips and returns completion dataLess manual entry, fewer billing rejections
Booking form or facility portal to dispatchCreates trip requests automaticallyFaster confirmation, complete data
Dispatch to billing or accountingSends completed trips for invoicingFaster, more accurate billing
Dispatch to SMS and voiceSends confirmations, reminders, arrival alertsFewer no-shows and status calls
Website, phone and CRMLogs leads and sourcesMeasures marketing and follow-up
Dispatch to CRMLinks trips to facilities and referral sourcesShows which relationships produce revenue
Dispatch to reportingFeeds dashboardsPerformance visibility

Many dispatch platforms already offer some broker and billing integrations. Check what is built in before building anything.

NEMT EHR integration

Some facilities and health systems want transportation requests to flow from their electronic health record or care management systems. These integrations are usually more complex, involve the health system's IT and security teams and may use healthcare data standards. They make sense for larger partnerships with significant volume. For most providers, a facility portal is a simpler first step; see NEMT facility portal.

How integrations work

Integration methods
MethodDescriptionWhen to use
Native integrationBuilt into your software by the vendorFirst choice when available
API integrationCustom connection using documented interfacesWhen native options do not exist
Integration platformMiddleware that connects apps with workflowsSimple data flows between common apps
File import and exportScheduled CSV or similar filesWhen no API is available
WebhooksOne system notifies another when something happensReal-time updates such as status changes

An API is a set of rules that lets software exchange data. Ask every vendor for API documentation; our guide to NEMT dispatch software explains why.

Plan your NEMT integration

  1. Define the goal. For example: website trip requests should appear in dispatch within one minute with source recorded.
  2. Decide the source of truth. Which system owns rider records, trip status and billing status?
  3. Map the fields. Match fields between systems, such as service level and pickup time formats.
  4. Handle exceptions. What happens if data is missing or a trip is changed in two places?
  5. Plan security. Authentication, encryption, access limits and logging.
  6. Test thoroughly. Use test data and real scenarios, including changes and cancellations.
  7. Monitor. Alerts when an integration fails, and a person responsible for fixing it.

NEMT data sync and security

Integrations move personal and potentially health-related data between systems. Protect it:

  • Share only the fields each system needs.
  • Use secure authentication and encrypted connections.
  • Store credentials securely, not in spreadsheets or emails.
  • Log data transfers and review access regularly.
  • Check vendor security practices and agreements, including business associate agreements where required.

Broker portal integration considerations

If you work with brokers, check which integration methods they support for your dispatch platform and state programme. Some offer direct integrations through approved software vendors; others rely on portal downloads and uploads. Follow broker and programme requirements for data handling and trip documentation.

Integrations for marketing measurement

Marketing integrations are often overlooked but valuable. When a lead's source flows from the website or phone system into the CRM, and the CRM links to trips in dispatch, you can see cost per booked trip by channel. See NEMT CRM and NEMT KPIs.

Build versus configure

Start with what your existing software can do natively, then use integration platforms for simple flows, and custom API work for important, complex connections. Custom integrations need maintenance when vendors change their APIs, so budget for upkeep.

Prioritise integrations by return

Not every integration is worth building. Score each candidate on hours saved per week, errors avoided, revenue impact and cost to build and maintain. A broker trip import that saves a scheduler ten hours a week usually outranks a nice-to-have dashboard. Build in order of return, prove each integration works reliably, then move to the next. A roadmap of three or four well-chosen integrations over a year is more valuable than an ambitious project that stalls.

Signs your integrations need attention

  • Staff keep spreadsheets "just in case" because they do not trust the data.
  • Billing finds trips missing from invoices.
  • Facility users report bookings that never reached dispatch.
  • Reports in different systems show different trip counts.

Frequently asked questions

What is an API in NEMT software?
An API is a documented way for software systems to exchange data, such as sending a website trip request into dispatch or completed trips into billing.
Can NEMT dispatch software integrate with brokers?
Many platforms offer integrations with certain brokers and programmes, while others rely on file imports or portals. Check what your platform and brokers support.
Do I need EHR integration for NEMT?
Most providers do not. It can be valuable for large health system partnerships, but a facility portal is usually a simpler first step.
How do I avoid double entry in my NEMT office?
Map where staff re-type data, then connect those systems through native integrations, integration platforms or APIs, starting with the highest-volume tasks.
Are NEMT integrations secure?
They can be with minimal data sharing, secure authentication, encryption, logging, monitoring and appropriate vendor agreements.
